Privacy Policy

1. Overview

This version v1 Privacy Policy explains how The Sales Identity collects, uses, discloses, and protects information in FieldMind, our AI-powered sales-practice, simulation, coaching, and behavioral-intelligence Service. It forms part of our Terms of Service.

2. Information We Collect

  • Account information, including email address and authentication information handled through Supabase.
  • Voice and conversation audio, practice-session recordings, transcripts, prompts, and user responses.
  • Session metadata, performance information, behavioral observations, derived behavioral scores, coaching outputs, Sales Identity profiles, and practice history.
  • Product usage and interaction data, device and browser information, IP address, logs, diagnostics, and security information.
  • Cookies and similar local technologies used for authentication, session continuity, security, and essential product operation.
  • Billing-related records supplied by payment providers if paid features are introduced; we do not currently represent that payment processing is live or that we store full payment card numbers.
  • Support, legal, privacy, and other communications you send us.

FieldMind processes what is said and how a conversation is conducted. It is not designed to create voiceprints or biometrically identify or authenticate people.

3. How We Use Information

We use information to create and authenticate accounts; operate voice practice and simulations; transcribe sessions; generate behavioral scoring, coaching, feedback, and Sales Identity profiles; personalize practice; provide support; maintain security; prevent fraud and abuse; diagnose technical issues; analyze performance; comply with law; and enforce our agreements.

Where legally permitted, we may also train, test, validate, evaluate, fine-tune, and improve our internal behavioral-intelligence systems, algorithms, machine-learning models, and AI technologies, improve simulation realism and scoring methodologies, develop new features, and create aggregate or de-identified behavioral benchmarks and models.

4. Aggregate and De-Identified Information

We may create, retain, use, publish, license, and commercialize aggregate, de-identified, or anonymized datasets, behavioral benchmarks, statistical analyses, behavioral models, and industry insights when they can no longer reasonably identify an individual. We do not treat information as anonymous unless reasonable identification has been prevented, and we do not attempt to re-identify de-identified information except to test the effectiveness of de-identification.

5. Service Providers

Vendors may process information for hosting, authentication, databases, analytics, voice processing, transcription, AI functionality, email, payments, monitoring, and security. Current implementation uses Supabase for authentication and databases, Vercel for hosting, and OpenAI for relevant AI, coaching, and realtime voice functionality. Providers process information only as necessary to provide contracted services. Unless separately disclosed, processing content through FieldMind does not by itself authorize third-party AI providers to train publicly available foundation models on that content.

6. Organizational Accounts

If an employer or organization provides your account, it may administer access and receive organization-related reports, practice history, and scores consistent with its agreement with The Sales Identity and applicable law. That organization is independently responsible for its use of information and employment decisions. FieldMind outputs should not be the sole basis for decisions with legal or similarly significant effects.

7. Sharing and Disclosures

We may disclose information to contracted service providers; to an Organizational Customer administering your account; when required by law or valid legal process; to protect rights, safety, security, users, or the Service; in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets; or at your direction or with your consent. We do not sell directly identifying voice recordings or transcripts as standalone data products.

8. Retention and Account Closure

We retain information as reasonably necessary to provide the Service, maintain security, comply with law, resolve disputes, and enforce agreements. Retention varies by data type, account status, contractual requirements, and operational need.

For thirty (30) days following account termination, except termination for violation of law or serious abuse, you may request an export of available practice history and scores in a reasonable format. After that period, we delete or de-identify personal information according to standard retention schedules, except for routine backups, information required by law or needed for disputes, and aggregate, de-identified, or anonymized information that no longer reasonably identifies you.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No storage or transmission system is completely secure, and absolute security cannot be guaranteed. Keep credentials confidential and notify legal@thesalesidentity.com of suspected account compromise.

10. Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete, restrict, object to processing, withdraw consent where applicable, or receive a copy of personal information. Submit requests to legal@thesalesidentity.com. We may verify identity and apply lawful exceptions. The current product does not provide an in-product deletion or export control.

11. Voice and Third-Party Recording Choices

Use of voice features authorizes processing of your voice as described here and in the Terms. You are responsible for all notices and consents required before recording or submitting another person's communications. Do not submit real customer conversations or confidential third-party information unless authorized and legally permitted.

12. Children's Privacy

The Service is not directed to anyone under eighteen (18), and we do not knowingly collect personal information from minors. Contact us if you believe a minor supplied information.

13. International Processing

We and our providers may process information in the United States and other countries whose privacy laws differ from those where you live. We use safeguards required by applicable law for cross-border transfers.

14. Changes

We may update this policy as the Service or law changes. We will post the revised effective date and version and provide additional notice or request renewed consent when required.
